Unit Clerk - Acute Care Hospital, Casual Shifts  

Job Summary

Under the direction of the facility unit supervisor or delegate, the Unit Clerk contributes to the effective operation of the nursing unit by acting as the central communication person (for the unit).  The Unit Clerk performs reception, clerical and administrative duties following hospital policies and procedures while maintaining a high standard of maturity and discretion in handling confidential matters.

Hours of Work:

Must be available to work a minimum of 45 hours per month which includes two (2) shifts on a weekend
Able to be scheduled for assignments that are considered “urgent/last minute/early morning” (e.g. called for assignments within 2 hours or less from start of shift)
Flexible to work all shifts (Days, Evenings), including weekdays, weekends and statutory holidays 
Proof of current immunization for measles, mumps, rubella and varicella (MMVR)
Proof of negative TB skin test within the past one (1) year or negative chest x-ray within the past five (5) years
Must have administrative experience or a Medical Administration course
Must be willing to undergo a Police Background Check
Understands and implements infection prevention practices
Maintains confidentiality of client information and care


Gr. 12 High School Diploma or equivalent plus one (1) year related experience or graduate of recognized one year related business/clerical program
Successful completion of a Medical Terminology course
Demonstrated knowledge of Microsoft Office
Training in STAR registration (Patient Processing System) and other Nova Scotia Health Authority (NSHA) programs i.e./ Admitting-Discharging-Transferring, diet ordering, medical record processing, booking/registration, paging
One (1) year related business/clerical experience

Duties and Responsibilities:

All tasks relating to admission, transfer and discharge of patients

Assembling and dismantling of charts if necessary
Requesting copies of charts, x-ray films and reports from other institutions 
Photocopies if necessary: charts for patient transfer to other hospitals, notes for other disciplines
Prepares bloodwork requisitions/tubes, forwards/contracts appropriate individuals re: consults, x-ray requisitions and reports
Filing of reports, stocking and thinning charts
General data entry
Booking of inpatient and outpatient appointments via telephone and PHS
Booking of patient transport
Maintaining policy and procedure and other manuals, admission, memo binders and patient statistics on the unit
Prints a distributes GroupWise memos, LIS reports, Star printouts (census work lists impatient lists for rounds)
Copy med Kardex
Orientation of new staff to i.e. location of forms, usage of equipment
Ordering of supplies
Placing work orders for maintenance, telephone repairs etc.
Answering telephones and call bells, retrieving messages
Liaison between disciplines 
Receive and sort mail
Meet and greet people, deal with family dynamics, providing support to upset patient/family members
Give directions
Provide directions for in-house people
